Monthly Active Patients

Definition

A patient counts as active in a given month if any of the following happened to them that month:

  • They logged in.
  • An appointment was scheduled for them (created that month), or they have an appointment occurring that month, including individual instances of a recurring appointment.
  • A new chart item was created for them, across allergies, conditions, medications, vitals, family history, notes, care plans, documents, lab orders, lab results, requisitions, form responses, insurance claims, invoices, superbills, and tasks.
  • The status changed on any of those same chart items they're linked to (for example, a note being signed, or a claim moving to submitted), including a status change on an appointment or appointment occurrence.

A patient is counted once per month no matter how many of these triggers fired, or how many times — 50 notes signed for one patient in a month still counts as one active patient. An organization member (staff) is counted the same way, keyed by staff id instead of patient id, with one addition: sending a chat message also counts as activity. Patients and staff are tracked as two separate totals; "combined" on the dashboard is the two numbers shown side by side, not a merged headcount.

A purely administrative update does not count as activity — for example, editing a patient's address, phone number, or other demographic info on file. Only the triggers listed above (new clinical/billing records, appointments, status changes, logins, messages) make a patient or staff member active for the month.
