Access Controls

For every organization member or patient specialization, you can set up different access controls. Note: there is only one type of specialization for patients called "Patient."

For example, you can set billers to have view access to the patient's chart and edit access to only the billing module. Or if you don't want patients to be able to book appointments from their patient portal, you can set "Can book, reschedule, and cancel appointments" for patients to be false.

If an organization member is a local admin or global admin, all the access controls set for that member are overriden.


Modify access controls (EMR)

To modify access controls for organization members or patients:

  • Go to the EMR (e.g. emr.avonhealth.com)
  • Click on the hamburger menu on the top left corner > Settings > Access Controls
  • In the Specializations dropdown, select the organization member or patient specialization that you want to set access controls for
  • Check/uncheck all of the functionality that you want to give to any user in that specialization
  • A couple of notes:
    • If a user doesn't have view access to a module, they automatically don't have add, edit, or delete access to it
    • If a user doesn't have add or edit access to a module, they automatically don't have delete access to it
    • You can set more fine-grained access controls for each item in a module as well. For example, you may want some forms to be only visible to PCPs while some other forms are only visible to nurses. You can set these more fine-grained access controls in the module itself.

Organization member access controls (EMR)

The full list of access controls that you can set for different specializations of organization members on the EMR are:

Access Scope to Patients:

  • Has access to all patients OR
  • Has access to only patients in their care team

Access Scope to Organization Members:

  • Has access to all organization members OR
  • Has access to only organization members in the same care team

Registration:

  • Can view patients list
  • Can add, edit, and/or archive patients
  • Can view organization members list
  • Can add, edit, and/or archive organization members

Scheduling:

  • Can view appointment types
  • Can add, edit, archive, and/or delete appointment types
  • Can view their calendar
  • Can view other organization member's calendars
  • Can host appointments with patients (only available to members on the standard tier)
  • Can host appointments with organization members (only available to members on the standard tier)

Messaging:

  • Can message patients
  • Can message organization members

Forms:

  • Can view forms
  • Can add, edit, archive, and/or delete forms
  • Can complete a form
  • Can assign forms to patients
  • Can view form responses

Visit Notes:

  • Can view visit note templates
  • Can add, edit, archive, and/or delete visit note templates
  • Can view patient visit notes
  • Can add, edit, or delete patient visit notes
  • Can sign and lock patient visit notes

Care Plans:

  • Can view care plan templates
  • Can add, edit, archive, and/or delete care plan templates
  • Can view patient care plans
  • Can add, edit, and/or delete patient care plans

Tasks:

  • Can view patient tasks
  • Can add, edit, and/or delete patient tasks

Courses:

  • Can view courses
  • Can add, edit, archive, and/or delete courses
  • Can view patient progress on courses

Automations:

  • Can view automations
  • Can add, edit, and/or delete automations

Billing:

  • Can view billing standards and service facilities
  • Can add, edit, or delete billing standards and service facilities
  • Can view patient insurance claims, superbills, and invoices
  • Can add, edit, and/or delete insurance claims, superbills, and invoices
  • Can submit insurance claims, superbills, and invoices
