Core concepts
AI Agent
The AI Agent works inside a patient's chart. Tell it what you need in plain language, and it creates tasks, books appointments, messages the patient, drafts orders, and answers questions about the chart, using the same actions you'd take in the EMR. You see each step it takes as it works, and anything that reaches the patient, books time on a calendar, or deletes a record waits for your approval.
Note: "AI Agent" is only available on the Pro and Enterprise tiers. Each plan includes a set number of AI Agent requests per month. To find out your organization's monthly limit, reach out to your Avon contact.
How it works
The AI Agent can:
- Create and update tasks
- Book appointments
- Message the patient
- Post internal notes and page team members
- Draft lab orders and requisitions
- Create documents, visit notes, and care plans
- Delete records
- Answer questions about the chart
Everything the agent does applies only to the patient whose chart you have open.
To open the AI Agent:
- Go to the EMR (e.g. emr.avonhealth.com)
- Click on the hamburger menu on the top left corner > Patients > Click on "View chart" for the appropriate patient > Click on the "AI Agent" shortcut on the topbar
- Type what you need and press Enter
While the agent works, you see each step it takes in a list under your request. Click a step that created or changed a record to open that record in the side panel. When the agent is done, it replies with a short summary of what it found or did.
If something it needs is missing or matches more than one option, like a team member's name or a template, the agent asks you before it acts.
Prerequisites
Tasks, internal notes, pages, deletions, and questions about the chart need no setup. The other capabilities need the following.
Part 1: Create appointment types and set availability (EMR)
Needed to book appointments (2). The agent books from your appointment types and your providers' open times. Follow the instructions here to create appointment types and here to set availability.
Part 2: Set up your SMS integration (EMR)
Needed to send text messages to the patient (3). In-app messages work without it. Follow the instructions here.
Part 3: Set up the Junction integration
Needed to draft electronic lab orders (5). Requisitions work without it. Follow the instructions here.
Part 4: Create document, visit note, and care plan templates (EMR)
Needed to create documents, visit notes, and care plans (6). The agent only uses templates that are published and usable by you. Follow the instructions here for document templates, here for visit note templates, and here for care plan templates.
Steps
Step 1: Create and update tasks (EMR)
The agent creates tasks on the patient's chart and assigns them to members of your organization. It can also change a task's name, assignee, due date, priority, or status, or mark it complete.
Example requests:
- "Create a task for Alex to schedule the patient's A1c, due Friday"
- "Make that task high priority and assign it to Dr. Taylor"
- "Mark the A1c task complete"
If no one or more than one person matches the name you give, the agent asks who you mean.
Approval: Not needed. The task is created or updated right away.
Step 2: Book appointments (EMR)
The agent finds open times from your providers' schedules and books the patient into one.
Example requests:
- "Book a Follow-up Visit with Dr. Taylor next Tuesday afternoon"
- "When is Dr. Taylor free for a Follow-up Visit this week?"
If you don't say which appointment type, the agent asks for it before looking for times. For example, "Book Dr. Taylor for next Tuesday afternoon" gets a question back asking which appointment type to book.
The agent searches up to 14 days at a time, so give it a date range within two weeks. If several times fit your request equally well, it offers a few and asks you to pick.
Approval: Needed. Click "Approve and book". See Approve or cancel a step.
Step 3: Message the patient (EMR)
The agent writes an in-app message or a text message (SMS) to the patient, in the patient's care team thread unless you name another thread. The full message is shown on the step so you can read it before it goes out.
Example requests:
- "Send the patient an in-app message that their A1c results are in and Dr. Taylor will review them at their Follow-up Visit"
- "Text the patient a reminder to book their Follow-up Visit"
The agent only says what you ask it to say. It doesn't add results, diagnoses, or advice on its own.
Approval: Needed. Click "Approve and send". See Approve or cancel a step.
Step 4: Post internal notes and page team members (EMR)
The agent posts an internal note to the patient's message thread, or pages a member of your organization about the patient. A page adds that person to the thread.
Example requests:
- "Add an internal note that the patient prefers morning appointments"
- "Page Dr. Taylor that the patient's A1c came back at 9.2"
Approval: Not needed. Internal notes are visible to staff only, and pages go only to your team, so both are sent right away.
Step 5: Draft lab orders and requisitions (EMR)
The agent creates a draft electronic lab order through your integrated lab, or a draft general, lab, or imaging requisition. It can also add or remove tests and orders, or change the ordering provider or order details, while the order is still a draft. Lab tests come from your lab's catalog.
Example requests:
- "Draft a lab order for an A1c with Dr. Taylor as the ordering provider"
- "Add a lipid panel to that lab order"
The agent never submits a lab order or sends a requisition. Open the draft, review it, and submit or send it yourself. Follow the instructions here for lab orders and here for requisitions.
Approval: Not needed. The draft is created or updated right away.
Step 6: Create documents, visit notes, and care plans (EMR)
The agent creates a document, visit note, or care plan from one of your templates, the same as creating one from the chart. If more than one template could match, it asks which one.
Example requests:
- "Create an Intake Form for the patient"
- "Start a Progress Note and fill it out from the chart"
- "Create a Diabetes Care Plan and fill in the patient's latest A1c"
- "Save this PDF to the patient's chart" (with the PDF attached to your request)
If you ask the agent to fill one out, it answers the template's questions only from what you told it and what's in the chart, and leaves the rest blank. It then tells you which questions it filled and which it left blank. The result is an unsigned draft for you to review and sign.
Approval: Not needed. It's created right away as a draft.
Step 7: Delete records (EMR)
The agent can delete a task, a draft lab order, or a draft requisition. Submitted lab orders and sent requisitions can't be deleted.
Example requests:
- "Delete the A1c task"
- "Delete the draft lab order"
Deleting a task also deletes its sub-tasks. The step shows how many will be deleted.
Approval: Needed. Click "Approve deletion". See Approve or cancel a step.
Step 8: Ask questions about the chart (EMR)
The agent searches the patient's chart and answers with the sources it used. It covers notes, labs, medications, conditions, allergies, care plans, tasks, documents, prescriptions, imaging, forms, bills, and faxes. If the chart doesn't have the answer, it says so.
Example requests:
- "What was the patient's last A1c?"
- "What medications is the patient on?"
- "Does the patient have any open tasks?"
Approval: Not needed.
Approve or cancel a step
These actions wait for your approval:
| Action | Button | Why |
|---|---|---|
| Book an appointment (2) | "Approve and book" | Booking adds the appointment to the provider's calendar, creates the video link, and can send the patient confirmations. |
| Message the patient (3) | "Approve and send" | The message reaches the patient. |
| Delete a record (7) | "Approve deletion" | Deletions can't be undone. |
To approve or cancel:
- Wait for the agent to finish. The buttons appear once it's done.
- Review the step. Until you approve, it reads "Nothing has been booked yet.", "Nothing has been sent yet.", or "Nothing has been deleted yet."
- Click the approve button to go ahead, or click "Cancel"
Only the person who made the request can approve or cancel it, and each step can only be decided once. When you approve, the agent checks the record again first. For example, if someone else took the appointment slot in the meantime, the booking fails and the step shows why.
Permissions
The AI Agent acts as you:
- Every action runs as you, the same as clicking the button in the EMR. The record shows you as the person who created or changed it, and audit logs, webhooks, and automations run as they normally do.
- Everything applies only to the patient whose chart you have open.
- The agent only uses document, visit note, and care plan templates that are published and usable by you.
- Tasks and pages can only go to members of your organization.
- Only the person who made a request can approve or cancel its steps.
